Oxjam music festival organisers: voluntary

Oxjam is a music festival which raises money for Oxfam.  It takes place in towns and cities across the UK in October, including Leeds in 2012. These events are organised by volunteers who love their local music scene and there will be lots of ways to get involved.  Currently they are looking for four volunteers to take up key roles within the organising team: a Marketing Coordinator, Production Coordinator, Fundraising Coordinator and Volunteer Coordinator to join the team in May.

The deadline for applications is 11th May.

Led by your team’s manager and working within a core team of volunteers you will help to deliver the Takeover event for Leeds.   The Takeover will be a multi-venue music event with dozens of bands playing in up to 6 venues, accessed by the purchase of one wristband. Your event will be one of the 40 Oxjam Takeover events taking place across the UK on one weekend in October.  It must keep to the Takeover model as defined by Oxjam, but beyond that it’s up to you and team to create something incredible.

Oxjam Volunteer Co-ordinator

What you’ll be doing

  • Work with the rest of the core team to identify where volunteers will be needed – fundraising events, promotions and event production will all rely on a lot of people power.
  • Design and implement recruitment strategies to get volunteers involved in the right numbers at the right time.
  • Organise and run briefings for volunteers at summer fundraisers, promotional events and, most importantly, the Takeover itself
  • Manage volunteers where necessary at events.

 

What skills or experience you’ll need to have

  • An understanding of volunteer management (experience is desirable)
  • Excellent written and verbal communication skills
  • Innovative and creative approach that can be applied to volunteer recruitment
  • Excellent organisational skills
  • The ability to work independently and under your own steam – support will be provided by your Takeover Manager and Oxfam but it is important that you feel confident recruiting and leading teams of volunteers yourself
  • A passion for fighting poverty

Oxjam Marketing Co-ordinator

What you’ll be doing

  • Design a fundraising strategy to ensure that your team hits an agreed fundraising target. This will include organising at least 3 fundraising events or activities to take place between June and September
  • Work with the Marketing Co-ordinator to ensure your fundraising activities in the summer are well promoted, and are used to promote other events, as well as Oxjam and Oxfam more generally, as much as possible.
  • Investigate possible sponsorship/partnership avenues, seeking advice from Oxfam when necessary.
  • Work with your team manager to plan and oversee the budget for your team/event expenses and lead on fundraising activities that generate enough money to cover these costs. (Take care that this fundraising activity is kept legal by using text and information provided by Oxfam.)
  • Oversee ticketing and money handling procedures for your flagship event.

 

What skills or experience you’ll need to have

 

  • An understanding of marketing and event promotion (experience is desirable)
  • Excellent communication skills, particularly written
  • Innovative and creative approach that can be applied to event promotion
  • Outstanding organisation skills, with experience of managing projects to deadlines.
  • Good knowledge of your local music scene and regional media.
  • The ability to work independently and under your own steam – support will be provided by your Takeover Manager and Oxfam but it is important that you feel confident coordinating your flagship event’s promotion and talking to the press.
  • A passion for fighting poverty

Oxjam Production Co-ordinator

What you’ll be doing

 

  • Write and implement production schedule, budget and contingency plans for your team’s Takeover event. You will co-manage the event on the day alongside your Takeover Manager.
  • Work to ensure that your team’s events cost as little as possible to put on, and are able to generate as much money as possible for Oxfam.
  • Approach, confirm and coordinate venues and artists for the event. You will need to appoint either a promoter or a trusted volunteer to oversee the management and coordination of each individual venue in the planning stage and on the day itself.
  • Be responsible for coordination of sound equipment and security.
  • Ensure that health and safety measures are in place for each venue and that, across your event, risks have been assessed and minimised. This may involve planning, for example, evacuation procedures and crowd control measures.
  • Ensure that your event is covered by all necessary licenses and insurance and that it is safe and legal.

 

What skills or experience you’ll need to have

 

  • Experience of organising live music events
  • Outstanding organisation skills, with experience of managing projects to deadlines
  • Excellent knowledge of your local music scene
  • Great inter-personal and communication skills and evidence of your ability to be persuasive
  •  The ability to work independently and under your own steam – support will be provided by your Takeover Manager and Oxfam but it is important that you feel confident using your own initiative on a complex project.
  • Experience of leadership positions, professional or within teams, clubs or societies. A passion for fighting poverty

  • The ability to work independently and under your own steam – support will be provided by your Takeover Manager and Oxfam but it is important that you feel confident using your own initiative in ensuring that your team meets your fundraising objectives
  • Willingness to support other volunteers in putting on fundraising activities
  • A passion for fighting poverty
